How to set up the Odysi Suite, step by step

The Odysi Suite is Odysi CRM, Odysi Scribe with the Odysi Recorder for Mac and Windows, and Odysi Projects. Odysi holds and shows your data; your own AI, Claude or ChatGPT, does the work through a connector. This guide takes a team from sign-up to its first recorded call, in ten steps, with the apps’ own labels. Everything here is in beta: free during the beta, for businesses only.

The short version

The setup checklist

From sign-up to your first recorded call
  1. Create your account at crm.odysi.studio/signup and confirm your email.
  2. Create your workspace, say what you’ll use it for and follow the setup guide.
  3. Connect Claude or ChatGPT to https://crm.odysi.studio/mcp.
  4. Start your first chat and let the setup interview write your Playbook.
  5. Bring in your data from CSV files, then merge duplicates.
  6. Invite your team: each invitation link lasts 7 days.
  7. Install the Odysi Recorder on your Mac or Windows PC and allow recording.
  8. Turn on Gmail and Google Calendar in your AI, not in Odysi.
  9. Ask us for Odysi Projects if you run projects for clients.
  10. Know where your data is, and how to export or delete it.

What you need: an email address (a company domain only matters for letting colleagues join by domain, step 6); Claude on a paid plan or ChatGPT Plus or higher (step 3); and for the Odysi Recorder, a Mac with macOS 14.4 or later or a Windows 10 or later PC (x64).

No. 01

Create your account

  1. Go to crm.odysi.studio/signup. No invitation or waiting list is needed.
  2. Under Create your account, fill in Your name, Email and Password (at least 12 characters), then click Create account.
  3. Open the email from Odysi and confirm your address. Nothing else happens until you do.

Creating an account means agreeing to the Beta Terms and the Privacy Notice. The terms are short on this point: the beta is free of charge, and you may use it only for your business, trade or profession, not as a consumer. You sign in with your email and password.

The person who creates a workspace becomes its Admin. There are two roles, Admin and Member: admins can change settings; members work with records. One login can belong to several workspaces, and the workspace menu switches between them.

No. 02

Create your workspace and follow the setup guide

Once your email is confirmed, Odysi welcomes you. If your email domain matches a workspace that lets colleagues join, you see it under “Your team is already on Odysi”, with Join or Ask to join (which waits for an admin). If not, Odysi goes straight to the workspace form; from the join screen, Create a new workspace opens the same form:

  • Logo, optional, and Workspace name: your company’s name, or your own if it’s just you.
  • What will you use Odysi for? Three cards: Selling (clients and deals), Finding a job (applications and interviews) or Something else (your assistant asks you). A one-line question follows, such as “What do you sell?”.
  • Currency and Time zone, then Create workspace.

A new workspace starts with Companies, People and Deals, with the deal stages Lead, In Progress, Won and Lost. Choosing Finding a job turns Deals into Applications, from Saved to Offer. You can rename anything later in Settings › Odysi CRM › Data model, or ask your AI to build the pipeline for you.

Next comes the setup guide, one step at a time. Every new member goes through it, and Finish later leaves a “Finish setting up Claude” (or ChatGPT) card so you can come back. Its steps:

  1. Choose your assistant: Claude or ChatGPT.
  2. Get Claude or Get ChatGPT: a check that your plan can connect Odysi.
  3. Connect Odysi to Claude (or ChatGPT). It turns green by itself once the connection works.
  4. Connect your other tools, optional.
  5. Start your first chat. It turns green once your assistant has read the Playbook.
  6. Your setup interview, optional.
  7. With Claude, Optional automations; with ChatGPT, Your daily check-in.

Steps 3 to 8 of this page follow the same path, with what each screen asks.

No. 03

Connect your AI: Claude or ChatGPT

Odysi CRM connects to your AI as an MCP server with OAuth sign-in. You add one address, https://crm.odysi.studio/mcp, sign in to Odysi and click Allow. Here are the steps as the in-app guide gives them, with Claude’s and ChatGPT’s labels as of October 2026.

The connector: one address, one sign-in
Your AI

Claude or ChatGPT, with Odysi added as a custom connector.

Sign in, then Allow

Odysi’s consent screen. The connection works as you, with your access.

Odysi CRM

Your records, lists, notes, tasks and meetings.

Claude · claude.ai or the desktop app

Connect Claude

Works best on a paid plan, Pro, Max, Team or Enterprise: they include Cowork, where Odysi works best, and scheduled tasks. Claude Free can connect Odysi for chat (it allows one custom connector), without Cowork or scheduled tasks.

  1. In Claude, open Customize › Connectors.
  2. Click + Add, then Add custom connector.
  3. Name it Odysi CRM, paste https://crm.odysi.studio/mcp and click Continue.
  4. Keep what Claude marked Detected, click Continue, then Add. Authentication: Sign in now; OAuth client: Use Claude’s published identity (Recommended).
  5. Click Connect next to Odysi CRM, sign in to Odysi if asked and click Allow.

On Team or Enterprise, an Owner adds the connector once in Organization settings › Connectors; then each person clicks Connect and signs in with their own Odysi account.

ChatGPT · chatgpt.com on a computer

Connect ChatGPT

Needs ChatGPT Plus or higher, used on chatgpt.com on a computer. The Free and Go plans can’t connect Odysi, and the ChatGPT phone apps can’t use it.

  1. On a computer, open Plugins in ChatGPT, in your own account.
  2. Click +, then Add custom MCP server. Only see “Create plugin” and “Upload plugin”? Turn on Developer mode in Settings › Security and login.
  3. Name it Odysi, one word, and paste https://crm.odysi.studio/mcp as the Server URL.
  4. Authentication: OAuth. Leave the advanced OAuth settings as they are.
  5. Tick I understand and want to continue and click Create as a plugin.
  6. Sign in to Odysi and click Allow; click Install if ChatGPT shows it.

On Business, Enterprise or Edu, an admin or owner adds and publishes it first; then each person installs it from Plugins › Your workspace and signs in.

Either way you finish on Odysi’s consent screen, Connect Claude to Odysi (or ChatGPT). If you belong to several workspaces, pick one: the connection is bound to it. Then click Allow. The connection works in that workspace as you, with the access you already have: it sees what you can see, changes what you can edit, and manages settings only as far as your role allows. You can see it, and disconnect it, in Settings › Connected apps; admins see everyone’s.

Claude and ChatGPT rename their menus from time to time, and the in-app guide follows them. The connector keeps the same tools, so a long Claude conversation never needs reconnecting; in ChatGPT, open Plugins › Odysi and click Refresh after an Odysi update. Other MCP clients with OAuth sign-in can, in principle, use the same address; the guides cover Claude and ChatGPT. The technical side is on the Odysi Suite for developers.

No. 04

Your first chat, the setup interview and the Playbook

The first chat. In Claude, choose Cowork, or start a new conversation; the guide suggests a project named Odysi CRM. Send the first message the guide shows you, by default “hi, I want to use this chat to manage Odysi CRM”. Claude reads your Playbook, checks your connectors and says hello. In ChatGPT, start every Odysi request with @Odysi; ChatGPT asks you to Allow each change.

The Playbook is the set of instructions every member’s AI follows, kept in Odysi as Markdown documents. Every conversation connected to Odysi reads it before anything else. Each workspace starts with five documents, worded for what you chose in step 2:

The starter Playbook
DocumentYour AI reads it
instructions.mdAlways. It is the entry point.
pipeline.mdBefore logging an email, updating a deal, planning a follow-up or running a check.
writing-rules.mdBefore writing any email, reply or client document.
reply-playbook.mdBefore answering a reply from a prospect or client.
Playbook/editing-the-playbook.mdBefore adding, changing or removing a rule.

Team and personal. The team Playbook is the shared part; everyone keeps their own rules on top of it, in private documents. On a team document, Make my own version replaces it for you only, and Reset to team version undoes that. Admins can lock a document so it is the same for everyone, and choose in Settings › Odysi CRM › Playbook › Who can edit the team Playbook: Admins only or Everyone. Members can always change their own. Already have instructions? Import a folder or Import from files takes Markdown files; Export all docs (.zip) takes them out, and every change keeps its history.

The setup interview is optional and takes about 10 to 30 minutes, depending on what you use Odysi for. Your AI asks the questions and writes the answers into the Playbook. For a sales team the topics include the business, pipeline and stages, team and ownership, writing style, handling replies, pricing, follow-up rhythm and what must never happen. Team topics are covered once; people who join later only get their own.

Your other tools. Admins choose in Settings › Odysi CRM › Assistant setup which connectors every member turns on in their own AI. The defaults are Gmail, Google Calendar, Google Drive and a contact finder. Odysi can’t see your Claude connectors, so each person ticks them off once they are on.

Automations, with Claude: the guide gives you two prompts for Cowork scheduled tasks, a Morning check on weekdays and an Hourly reply check. Both tell Claude to write drafts only, never send. With ChatGPT, scheduled tasks with Odysi aren’t confirmed yet, so the guide gives you a daily check-in to run yourself.

Bring in your data

Go to Settings › Odysi CRM › Imports and click Import a CSV, or drop a file on any table. You can bring a CSV into any object or list:

  1. Map each column to an attribute, Create a new attribute, or Skip this column.
  2. Choose Match existing records on a field, so rows update what you already have, or always create new records.
  3. Click Review mapping, then the Import … records button, which shows how many, such as Import 120 records. If some rows fail, Download rows with errors shows which ones and why.
  4. Changed your mind? Undo import works for 7 days after a finished import.

Then open Duplicates on the same screen and click Check for duplicates. For each pair choose Keep A, Keep B or Not a duplicate; a merge can be undone for 30 days.

Moving from another CRM? There is no one-click migration. Export your data from the old CRM as CSV files and import them as above. For a few records, your AI can also create them in Odysi one by one through the connector, from a file you give it or from the old CRM if it is connected there too.

No. 06

Invite your team

  1. Go to Settings › Workspace › Members and teams and click Invite someone. Only admins can invite.
  2. Enter the Email, choose the Role, Member or Admin, and click Send invitation.
  3. Your colleague opens the link, chooses a name and password, confirms their email and joins. Each link works once and expires after 7 days; pending invitations can be resent or revoked.

Let colleagues join without an invitation. On the same page, choose Off, Join as member or Request approval for people with your company’s email domain. It isn’t available when the admin’s own address is at a public email provider.

Who sees what. Under Permissions you decide who can see and edit each object and list: everyone, a team or one member. The most generous rule that applies wins, and Check someone’s access shows the result for one person. Teams let you give access to a team instead of to each member. Your AI never takes a seat of its own: each connection acts as the person who connected it.

Install the Odysi Recorder for Odysi Scribe

Odysi Scribe transcribes your calls, names everyone who spoke and files each call with the right meeting or deal. Apart from suggestions when you import a CSV or check for duplicates, it is the one part of the suite that calls an AI itself: to transcribe calls, name the speakers, match each call to its meeting and polish dictation. There are three ways in: the Odysi Recorder on your computer, where most people start, Upload a recording in the web app, and Dictate.

Download the Odysi Recorder from crm.odysi.studio/scribe/mac (macOS 14.4 or later) or crm.odysi.studio/scribe/windows (Windows 10 or later, x64). You need a confirmed Odysi account in a workspace first. The first time, your computer asks whether you trust it (a Mac once, when you open it; Windows twice, when you download it and when you open it): the Odysi Recorder isn’t notarized by Apple or signed with a Microsoft certificate yet. We’re a small studio and haven’t joined Apple’s paid developer programme or bought a Microsoft certificate. You only do this once.

On a Mac

  1. Open the download: double-click Odysi Recorder.dmg in Downloads.
  2. Drag it to Applications.
  3. Open it, then click Done. The Mac says “Odysi Recorder” Not Opened, because Apple could not verify it. Click Done, not Move to Trash.
  4. Click Open Anyway in System Settings. Go to System Settings › Privacy & Security, scroll to Security and click Open Anyway next to the line about Odysi Recorder; click Open Anyway again and confirm with Touch ID or your password. The button shows for about an hour after you tried to open the app. On macOS 14 Sonoma, Control-click the app, then Open, then Open.
  5. Sign in and allow recording. In the welcome window, click Sign in with Odysi, then Allow recording, and say yes to your Mac’s two questions: Microphone and System Audio Recording.

The Odysi Recorder then lives in the menu bar as a small waveform. Dictate anywhere, on the Mac, also needs Accessibility to paste into other apps; without it, the text waits on the clipboard.

On Windows

  1. Download it and choose Keep. In Edge, open the three dots and choose Keep. If Edge asks again, click Show more, then Keep anyway. In Chrome, Keep. In Firefox, Allow download.
  2. Open it, click More info, then Run anyway. On “Windows protected your PC”, check that it says App: Odysi Recorder Setup.exe (the publisher shows as Unknown publisher) and click Run anyway.
  3. It installs and opens, with no admin password. Click Sign in with Odysi and finish in the browser.
  4. Check your microphone with Check my microphone. If it’s blocked, open Settings and turn on Microphone access and Let desktop apps access your microphone.
  5. Find it next to the clock. Drag it out of the ^ overflow to keep it in sight.

On some new Windows 11 PCs, Smart App Control blocks it with no Run anyway. Turn it off in Windows Security › App & browser control › Smart App Control settings. On Windows 11 versions from before April 2026 it can’t be switched back on without resetting Windows, so if you’d rather not, write to us and we’ll help. Windows in S mode can’t run it.

From the menu bar to the right deal
Record

From the menu bar or the tray, or say yes when it offers to record a call.

Transcribe

Odysi Scribe writes the call up and names everyone who spoke.

Attach

It finds your meeting at that time, and the meeting’s deal with it.

From a call to a transcript on the right record

  1. Record. Start from the menu bar or tray, or accept the pop-up that offers to record when a call app takes your microphone. It records your microphone and the call’s sound, so headphones are fine, with Zoom, Meet, Teams or any other app.
  2. Transcribe. The call uploads, Odysi Scribe transcribes it and names the speakers.
  3. Attach. Odysi Scribe looks for your meeting at that time. A clear match is Attached automatically, with Undo; attaching to a meeting also attaches its deal. If it isn’t sure, it asks Where does this belong?, with suggestions, Create a meeting or Leave it unattached.
  4. Share. Until it’s attached, only you can see the transcript. Then it’s visible like its meeting or deal, and your AI can read it through the connector.

Call audio is kept for listening back for 30 days by default (an admin can choose 7 or 90 days in Settings › Scribe › Keep call audio), then deleted; the transcript stays. Dictation audio is never kept. Let everyone on the call know you’re recording it: the Terms make you responsible for telling them and getting consent where it is required.

During the beta, Odysi Scribe works straight away on Odysi’s beta keys, within a monthly allowance per person and an overall monthly ceiling; the beta keys can be paused at any time. To remove those limits, add your own AI provider keys in Settings › Scribe (“Use your own keys, no limits”), or use a workspace key from an admin; the provider bills you directly.

Updates. The Odysi Recorder updates itself: it checks every hour, downloads quietly and installs when the computer has been idle for two minutes and nothing is recording. With Install updates automatically turned off in its settings, it waits until you quit it or click Restart now.

On your phone. Open crm.odysi.studio/voice/ for Odysi Scribe on the phone, an installable web app for dictation (not call recording): sign in, tap Record and add it to your Home Screen. Each take is saved on the phone until its text comes back, so a bad connection loses nothing.

No. 08

Email and calendar: through your AI, not a sync

Odysi doesn’t sync your inbox or calendar, by design. Your AI reads Gmail and Google Calendar through its own connectors and writes emails, notes and meetings into Odysi through the Odysi connector. Odysi never sends email from your mailbox.

  • Turn on Gmail and Google Calendar in Claude or ChatGPT, not in Odysi. They are among the defaults an admin can pick in Assistant setup (step 4).
  • Emails your AI logs feed counters on each deal, such as Last contacted and Replied.
  • Meetings exist in Odysi only when you or your AI put them there. That matters for Odysi Scribe: it matches each call against the meetings in Odysi, so ask your AI to log your calendar’s meetings.
No. 09

Odysi Projects, on request

Odysi Projects is where a studio runs its client work with its clients, on the same account and data as Odysi CRM. It isn’t self-serve: we switch it on per studio, and today it runs for Odysi Studio and its clients. If you run projects for clients, talk to us. Once it’s on:

  1. Give your team access. When you invite someone, Access offers CRM and Projects or Odysi Projects only.
  2. New project. Start from a won deal in the CRM, from a later phase of an open deal, or choose A project without a deal. The preview lists the client people and the key documents from the deals, then creates the project in one step.
  3. Setup interview. It marks what the CRM already knows and asks only about the gaps.
  4. Invite a client, in Project settings › People. The client gets an email with a link that lasts 72 hours. Clients have no password: they sign in with a single-use link sent to their email.

The client side is in English or Spanish, chosen per project; the team side is in English. Anything your team’s AI writes for a client waits in Drafts to check until a person publishes it. Odysi Projects has its own connector, Odysi Projects, at https://projects.odysi.studio/mcp, separate from the CRM connection, and a client can connect their own Claude or ChatGPT to just their project.

No. 10

Your data: export, delete, and where it lives

  • Export everything. Admins: Settings › Workspace › Privacy and data › Export workspace. One JSON file with every object, every record with its full history, lists, notes, tasks, comments and meetings. Each export is noted in the audit log.
  • A spreadsheet instead. Select rows in a table and choose Export CSV. The Playbook has its own Export all docs (.zip).
  • Audit log. Download as CSV covers members, roles, permissions, API keys, connected apps, webhooks, merges, exports and erasures.
  • Delete. Delete a person’s data finds someone by email or name and erases their data; Delete workspace, in Settings › General, asks you to type the workspace name; Delete my account, in Settings › Account, asks for your email. Deleting a person’s data or a workspace can’t be undone.

Odysi’s Privacy Notice says the database, servers and stored files are in the EU (the database in Ireland, attached files and kept call audio in Amsterdam, in the Netherlands), and that some of the providers it lists, such as the AI providers behind Odysi Scribe, are in the United States. It also says Odysi doesn’t use customer data to train AI models and doesn’t sell personal data. Both the Privacy Notice and the Beta Terms are beta texts, to be reviewed before the public launch.

If you keep one thing: Odysi holds your data and your AI does the work. Connect Claude or ChatGPT in step 3 and let the setup interview write your Playbook; the rest follows from that.

Frequently asked questions

Questions about setting up the Odysi Suite

Is the Odysi Suite free?
Yes, during the beta: the Beta Terms say the beta is free of charge. It is for businesses only, so you may use it for your business, trade or profession, not as a consumer.
Which AI do I need?
Claude or ChatGPT. Claude works best on a paid plan (Pro, Max, Team or Enterprise), which includes Cowork and scheduled tasks; Claude Free can connect Odysi for chat. ChatGPT needs Plus or higher, used on chatgpt.com on a computer; the Free and Go plans and the phone apps can’t use it.
Can I import my data from another CRM?
There is no one-click migration. Export your data from the old CRM as CSV files and bring them in with Import a CSV. A finished import can be undone for 7 days. For a few records, your AI can also add them through the connector, one by one.
Does Odysi read my inbox or calendar?
No. Odysi doesn’t sync your inbox or calendar. Your AI reads Gmail and Google Calendar through its own connectors and writes emails, notes and meetings into Odysi through the Odysi connector.
Why does my computer warn me about the Odysi Recorder?
The Odysi Recorder isn’t notarized by Apple or signed with a Microsoft certificate yet, so the first time your computer asks if you trust it. On a Mac, click Open Anyway in System Settings, Privacy & Security; on Windows, choose Keep when you download it, then click More info and Run anyway when you open it. You do it once.
Is Odysi CRM available in Spanish?
No, the Odysi CRM interface is in English only. In Odysi Projects, the client side can be in English or Spanish, chosen per project.
How do I get Odysi Projects?
On request. We switch Odysi Projects on per studio, and today it runs for Odysi Studio and its clients. Talk to us if you want it for your own client work.

Checked against the live apps and their in-app guides on 17 October 2026. Claude’s and ChatGPT’s menu labels as of October 2026. Legal texts: Odysi Beta Terms and Privacy Notice, effective 15 October 2026.
