Who we are

Odysi Studio Inc. (“we”, “us”, or “our”) is a company incorporated under the laws of the State of Wyoming, United States. Our registered office is at 50 Marycrest Road, West Nyack, NY 10994, USA. For any privacy-related inquiries, please contact us at mike@odysi.studio.

Data we collect

We may collect the following categories of personal data:

• Identity data: name, email address, company name, job title when you fill out forms on our site.
• Contact data: phone number, WhatsApp number, email address.
• Technical data: IP address, browser type and version, time zone, operating system via analytics tools.
• Usage data: information about how you use our website, pages visited, time spent, referral source.

How we use your data

• To provide and maintain our services.
• To respond to your inquiries and communicate with you.
• To analyze website usage and improve our site experience.
• To send you relevant information about our services, only with your consent.
• To measure whether our advertising brings enquiries (Google Ads), only with your consent.
• To comply with legal obligations.

Data sharing

We do not sell your personal data. We may share data with:

• Service providers: Netlify (website hosting); Google (Google Analytics for website analytics, Google Ads for ad measurement, and Google Workspace, where the enquiries you send through our forms are stored); Loops (sending the emails you ask for, such as your scorecard readout); Calendly (if you book a call); WhatsApp (if you message us).
• Site assistant providers: Anthropic, Cartesia and OpenAI, only when you use Ask Odysi, as described in section 05.
• Legal requirements: when required by law, regulation, or legal process.

The site assistant (Ask Odysi)

Ask Odysi is an AI assistant, not a person. It answers questions about Odysi using Claude, a model made by Anthropic, and its answers can be wrong. Its voice notes are read by an AI-generated voice, not recorded by Thomas or Mike. When you use it:

• What is processed: the messages you type or dictate, the conversation so far, and the address and title of the page you are on. Please don’t share sensitive personal data in the chat.
• Who processes it: Anthropic PBC (United States) receives each message with the conversation so far, to write the answer. If you play a voice note, the assistant’s text (not your messages) goes to Cartesia (United States), or to OpenAI (United States) if Cartesia is unavailable, to turn it into audio. If you send a voice message, the recording goes to OpenAI to be transcribed (the recording itself stays in your browser), and the assistant’s spoken reply is made from its own text in the same way as a voice note. The reply demo on the WhatsApp assistant page works the same way: the customer messages you paste there go to Anthropic only to write the example replies, and Odysi does not store them.
• What we don’t keep: Odysi does not store your conversations. They stay in your browser tab and are gone when you close it. Anthropic and OpenAI state that they do not use data sent through their APIs to train their models and that they delete it within 30 days.
• Abuse protection: to limit automated use, we keep a one-way hash of your IP address (and, if you send us a message, of your email address) in Netlify Blobs, never the address itself, for at most 24 hours. The audio of a voice note may be kept on Netlify so the same note is not generated twice; it contains only the assistant’s words, never your contact details.
• When your data reaches us: only if you choose to send a message to Thomas or Mike from the chat. We then receive your name, email address, company, message, the transcript of the conversation and the page you were on. It reaches us by email through Loops and is recorded in our enquiries sheet in Google Workspace, and we keep it as described in section 06.
• Legal basis: our legitimate interest in answering the questions you ask us (Article 6(1)(f) GDPR). For a message you send us from the chat, the steps you ask us to take before a possible contract (Article 6(1)(b)) and your consent (Article 6(1)(a)).
• International transfers: Anthropic, Cartesia and OpenAI are based in the United States. Where the GDPR applies, these transfers rely on the European Commission’s Standard Contractual Clauses in each provider’s data processing terms.
• Analytics: if you accept analytics cookies, we count when the assistant is opened and how many messages are sent, never what they say.

Data retention

We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, typically no longer than 24 months after your last interaction with us, unless a longer retention period is required by law.

Your rights

Depending on your jurisdiction, you may have the following rights:

• Access: request a copy of the personal data we hold about you.
• Rectification: request correction of inaccurate data.
• Erasure: request deletion of your personal data.
• Portability: request transfer of your data to another service.
• Objection: object to processing of your data for certain purposes.
• Withdraw consent: where processing is based on consent, withdraw it at any time.
