A WhatsApp AI agent for vehicle testing stations

A testing station answers the same questions all day: what to bring, when you are open, how to book, what happens after a fail and when the certificate arrives. The questions it answers

It answers with what your station publishes, not with general rules it imagines. Where a rule is the same for every station, it links the official source instead of interpreting it. The rules differ from one market to the next, so the examples below come from two of them: Ireland's commercial vehicle test (CVRT), run by independently owned test centres that the Road Safety Authority authorises and supervises, and Malta's roadworthiness test (VRT), carried out at stations licensed by Transport Malta.

What to bring

Your station's list, as you publish it. In Ireland, for example, the person presenting a vehicle for its CVRT must show a driving licence, passport or Public Services Card, or the certificate is held back until they do (cvrt.ie). The agent says it before the customer sets off, not at the counter.

Booking and opening hours

It explains how to book with you and sends the link to the booking tool you already use. Some bookings start as requests: on the CVRT online system, a booking request is not a confirmation, and the chosen test centre gets in touch to confirm it or arrange another time (cvrt.ie). That follow-up can happen on WhatsApp.

Fees

The fees you charge, as you publish them. They are often set by regulation: in Ireland, CVRT fees are prescribed in a statutory instrument (S.I. No. 674 of 2024) and VAT at 23% is added (cvrt.ie). If a price is not on your list, the agent does not make one up: it passes the question to a person.

After a fail

What has to be repaired, where to come back and by when. In Ireland a retest within 21 days and 4,000 km covers only the failed items, it must be booked with the centre that ran the first test, and a visual retest is free (cvrt.ie). In Malta, the defects listed on a refusal notice must be repaired within 16 days before the vehicle is tested again (European Commission).

Results and the certificate

What a result means and what happens next. Malta's results are pass, pass minor, fail major and fail dangerous (European Commission), and renewing a road licence online needs the VRT details already entered by the station (Transport Malta). In Ireland a pass pending recheck of minor deficiencies has no time limit and no fee for the recheck (cvrt.ie).

Which test, and when it is due

Owners are not always sure which test applies. In Ireland a van or jeep needs the yearly LCV test, not the NCT, even when it is taxed privately, and the test is due on the anniversary of first registration (cvrt.ie). Many people still call it the DoE test (cvrt.ie), and the agent understands both names.

The requirements, deadlines and prices the agent gives are your station's. If something is not in what you publish, it does not make it up: it asks your team or hands over the conversation.

Details and documents before the visit

Before a customer arrives, the agent collects what your team would otherwise ask at the desk or on the phone: the registration number, the type of vehicle, the station and the time that suits them, and a photo of a document if your process needs one. It checks that nothing is missing and passes it to your team, so the booking or the request arrives ready. It asks only for what the visit needs.

It can also send the preparation notes you already give customers, so fewer vehicles arrive in a state that cannot be tested. The CVRT site, for instance, asks for a clear cargo area, a reasonably clean underbody and hubcaps removed (cvrt.ie).

Your number, your booking tool

Many stations already take bookings online and send reminders, and still answer most questions by phone. The agent does not replace any of that. It works on the WhatsApp number you already publish and alongside the booking tool you already use: it sends customers to it, and if the tool has an API, we look with you at whether booking inside the conversation makes sense. We have not yet connected an agent to a testing station's booking system, so that is something we would scope and connect for your station, not something we claim to have.

Reminders before a certificate expires are the other half of the job. A message the station sends first goes out as a template approved by Meta, and Meta charges for each template delivered; we explain what WhatsApp charges per message. Reminders are a separate piece from the agent, and we decide the scope with you.

What stays with your team

The agent does not replace anyone, or the station's judgement. It answers what is standard and passes you the rest with the conversation attached. This stays yours:

  • The test result. Your tester decides it, under your station's authorisation.
  • Complaints and disagreements with a result.
  • Any technical question about a specific vehicle.
  • Any price or exception that is not in what you publish.

Customers get an answer at any hour. Your team stops typing the same answer again and again.

How we build it

We do not start from scratch or ask you to write a manual. Most of what the agent needs to know is already on your website. If your booking or management software has an API or lets you export data, we look at it first to see what the agent could check there.

Fixlab is a vehicle homologation lab in Spain. Its customers write on WhatsApp with questions close to a testing station's: which documents my vehicle needs, which photos, how long it takes and what comes next. Its assistant answers from a real knowledge base, opens the request in Fixlab's platform and passes the case to a person when it needs judgement. From 26 June to 24 September 2026 it handled 279 conversations from 218 people, with the first reply in 16 seconds (median), and 55% of them started outside office hours.

Common questions

Questions about the AI agent for testing stations

Does it work on the WhatsApp number we already publish?
Yes. It runs on your WhatsApp Business number through Meta's official API, so customers keep writing to the number they already have. Nothing is installed on your website.
Does it work with our booking system?
It depends on the system. First we ask which one you use and what it allows: an API, exports or nothing at all. If it can be connected, the agent checks there what it needs; if not, it sends customers to your booking page and passes requests to your team in the channel you already use. We have not yet connected an agent to a testing station's booking system, so we scope that connection with you rather than promise it.
Can a person take over the conversation?
Yes. The agent passes the conversation to the person you choose, with the full history and a short summary, and tells the customer that someone from the station will reply. Any customer who asks for a person gets one, and once your team is done the agent picks the conversation back up with the context intact.
What if it doesn't know the answer?
It says it will check with the team instead of guessing, and hands the question over. It never invents a fee, a deadline or a rule, and it does not interpret the regulations: questions that depend on a specific vehicle go to your team.
What about data protection and GDPR?
The agent asks only for the details a visit needs. We choose the components with you, can run the AI model on an EU endpoint and document where each component processes and stores data, so you can show it to your data protection officer.
Is AI allowed on WhatsApp Business?
Yes, for an assistant that serves your own customers. Since 15 January 2026 Meta bars general-purpose AI assistants offered as a product on the WhatsApp Business API, not the customer service assistants businesses use for their own customers. How much does it cost?
It depends on which questions it covers, how many stations it serves and whether it connects to your booking system. Can one number serve several stations?
Yes. It is set up with each station's details (opening hours, address, services and fees) and asks which one the customer means when it is not clear.
