AI document review: the file arrives complete before you sign it
Reviewing a case file is not expensive because of the reading. It is expensive because the same points get checked on every file and whatever is missing gets chased, often over several rounds.
AI document review does that first pass: it reads the PDFs, photos and forms, compares each one with your checklist, writes a single request listing everything missing and hands you the file with the doubtful points flagged. It never signs or approves anything. Your expert does.
Where review time goes
In a vehicle certification lab, an administrative agency or a mortgage broker, the pattern repeats. The customer sends the paperwork in pieces. Someone opens it, checks whether everything is there, sees something missing and asks for it. It arrives, and something else is missing. When the file is finally complete, the expert re-checks what was already checked on arrival, because they are the one who signs.
Almost none of that needs expert judgement, but it eats the time of the people who have it. It is work with a written rule, high volume and a clear owner: exactly the kind of work that belongs in AI process automation.

- That every document your checklist requires for this case type is there.
- That it is legible: sharp photos, complete pages, nothing cut off.
- Dates and expiry: documents still valid, deadlines not passed.
- That data matches across documents: names, plate numbers, ID numbers, amounts.
- That each photo shows what the rule asks for.
What your expert decides
- The technical judgement on the case.
- Exceptions, and anything the checklist does not cover.
- Accepting or rejecting the file.
- The signature.
Whatever the AI cannot check with confidence, it does not pass: it flags it for your expert. Human review then goes where judgement is needed, instead of being spread evenly across the obvious and the hard.
One request, not five
When something is missing, the system does not ask for it as it goes. It reviews the whole file and writes one request with everything missing or unusable, and why: "the workshop certificate is missing", "the photo of the plate is blurred", "the ID document has expired". During the pilot, your team reviews every request before it is sent.

Fixlab is a vehicle certification lab in Spain. Since June 2026, its WhatsApp assistant tells each customer which documents and photos their modification needs, reads the photos they send and opens the request in Fixlab's platform with the documents and data. That is the collection step, not the full technical review: the engineer still verifies and certifies.

Vehicle certification and modification labs
- What it checks
- That the customer has sent the photos, spec sheets and certificates this modification requires for this vehicle, that the photos show what they must show, and that the data matches the vehicle's documents.
- What the engineer decides

Administrative agencies: vehicle transfers and registrations
- What it checks
- That the documents the agency requires for that procedure are there, that the plate number and owners match across all of them, and that nothing has expired.
- What the agent decides

Lending and mortgage brokers
- What it checks
- That the payslips, bank statements and paperwork each application needs are there, and that the figures agree across documents. The goal: advisers only see complete applications.
- What the adviser decides
- Whether the deal is viable. We have already built a mortgage pre-qualification tool to a mortgage advisory firm's criteria: prospects assess themselves and arrive as an already-scored lead.
IDP software or a built check?
Search for AI document processing or intelligent document processing (IDP) and you will mostly find products that classify documents and extract their data: invoices, delivery notes, standard forms. If that is your problem, pulling data out of documents that look much alike and moving it into another system, a product like that is usually a better buy than something custom, and we will tell you so.
A built review makes sense when the hard part is not reading but knowing what to check: the rules belong to your trade, they change by case type, and a person answers for the result with their signature. With your expert we write the checklist for each case type: which documents, which data, which photos, and what makes something unusable.
Real files as the test
We take closed files and agree in writing what the AI should have caught in each one.
A pilot with human review
The AI reviews new files and a person checks every result before it takes effect.
Production
Once it passes the agreed test, it goes live. We keep measuring what it catches, what it misses and how much time it saves.

Data, confidentiality and ownership
A case file carries personal data. The system uses only what the review needs. We choose the components with you, can run the AI model on an EU endpoint, and document where each component processes and stores data, so you can show it to your data protection officer.
It is built on your criteria and your documents, which are yours, and they are not shared with other clients. At handover we document everything, and the documentation is fully yours, so your team can change the rules without us.
